GradeChum Terms and Conditions

These Terms and Conditions govern your use of GradeChum and explain how purchases, refunds, and cancellations work. By creating an account, using the service, or buying credits, you agree to these terms. Last updated on 7 October 2026.

A. General Terms

Who we are

GradeChum ("GradeChum", "we", "us", or "our") is an AI-assisted grading platform operated from Cebu City, Philippines. Our contact details are listed at the end of these terms and in the footer of this website.

What the service is

GradeChum lets teachers create activities, scan or upload students' answer sheets, have them checked automatically, review and override the results, and release scores to students. Some features, such as viewing the checked results of an activity, are unlocked using credits. Teachers can always review and correct the system's scoring; GradeChum assists with grading but does not replace a teacher's judgment.

Who can use GradeChum

You must be at least 18 years old and able to enter into a binding agreement to create a teacher account or make a purchase. You are responsible for keeping your login details secure and for all activity that happens under your account.

Acceptable use

You agree not to misuse the service, including by attempting to gain unauthorised access, uploading content you have no right to use, interfering with other users, or using the service for any unlawful purpose. We may suspend or close accounts that breach these terms, as described in Section D.

B. Credits, Pricing, and Payments

What credits are

Credits are a prepaid, in-app balance used to unlock features of GradeChum. For example, viewing the checked results of an activity costs a small number of credits per activity per class. The exact credit cost is always shown to you before you confirm an unlock, and credits are deducted only when you confirm.

Credits are a licence to use features of the service. They are not money, do not earn interest, cannot be transferred to another account, and cannot be exchanged for cash except where a refund is expressly provided for in Section C.

Credit packs and pricing

Credits are sold in packs. The packs currently offered, the number of credits in each, and the price in Philippine Pesos (PHP) are shown in the app at the time of purchase. We may change pack sizes and prices at any time, but a price change never affects a purchase you have already completed: the credits and price recorded at the moment you paid are what you receive.

All prices are quoted in PHP and are inclusive of applicable Philippine taxes unless stated otherwise at checkout.

Payment methods and payment processing

Payments are processed by Xendit, a licensed payment service provider, on our behalf. We accept the payment methods shown at checkout, which may include e-wallets (such as GCash, Maya, GrabPay, and ShopeePay) and credit or debit cards.

GradeChum never sees or stores your full card number, CVV, or e-wallet credentials. Those details are entered directly on Xendit's secure payment pages and are handled under Xendit's own terms and privacy policy. You authorise Xendit to charge your chosen payment method for the amount shown at checkout.

When a purchase is complete

A purchase is complete only when Xendit confirms to us that the payment succeeded. Credits are then added to your account automatically, usually within a few seconds. Until confirmation is received, a purchase is pending and no credits are added.

If a payment fails, is declined, or is not completed within the time allowed by the payment method, the purchase is cancelled automatically and nothing is charged. If you were charged but did not receive your credits within 24 hours, contact us at info@gradechum.com with your payment receipt and we will either credit your account or refund you under Section C.

Free, promotional, and referral credits

From time to time we may grant credits for free, for example when you sign up, refer another teacher, or take part in a promotion. Free credits have no cash value, are never refundable, may be subject to additional conditions, and may expire or be withdrawn at our discretion. When you unlock a feature, free credits are used before purchased credits.

Institutional subscriptions

Schools and institutions may instead subscribe to GradeChum under a separate written agreement, typically priced per student per semester. Where such an agreement exists, its payment, refund, and cancellation terms apply to that institution and take precedence over Sections C and D of this document.

C. Refund Policy

General rule

Credits are a digital product that is delivered instantly and consumed when used. Because of this, credit purchases are generally final and non-refundable once the credits have been added to your account, except in the situations listed below.

When you are entitled to a refund

We will refund a credit purchase in full when:
  • You were charged but did not receive credits. Your payment succeeded but the credits were not added to your account, and we were unable to deliver them within 3 business days of you reporting the problem.
  • You were charged more than once for the same purchase. The duplicate charge will be refunded.
  • The transaction was unauthorised. The purchase was made without your permission and you report it to us promptly. We may ask for information to investigate and will cooperate with Xendit and your card issuer or e-wallet provider.
  • A fault on our side prevents you from using the credits you bought and we cannot fix it within a reasonable time.
  • The law requires it, including any non-waivable rights you have under the Consumer Act of the Philippines (Republic Act No. 7394) and other applicable consumer protection laws.

7-day change-of-mind refund for unused packs

If you change your mind, you may request a refund of a credit pack within 7 days of purchase, provided that none of the credits from that pack have been used. Once any credit from a pack has been spent, the pack is no longer eligible for a change-of-mind refund. Each account may use this option once per 12-month period.

What is not refundable

  • Credits that have already been used to unlock a feature.
  • The unused remainder of a pack from which some credits have been used (except as required by law or in the fault situations above).
  • Free, promotional, or referral credits.
  • Purchases older than 7 days, unless one of the entitlement situations above applies.
  • Purchases made on an account that has been suspended or closed for breaching these terms.

How to request a refund

Email info@gradechum.com from the email address registered to your GradeChum account, with the subject line "Refund request", and include:
  • The date and amount of the purchase
  • The payment reference or receipt from Xendit, GCash, Maya, GrabPay, ShopeePay, or your card statement
  • The reason for the request

We will acknowledge your request within 3 business days and give you a decision within 7 business days of receiving all the information we need.

How refunds are paid

Approved refunds are returned through Xendit to the original payment method used for the purchase. We cannot refund to a different card, e-wallet, or bank account. After we issue a refund, the time it takes to appear depends on your provider: e-wallet refunds usually arrive within 1 to 7 business days, and card refunds within 5 to 15 business days, depending on your issuing bank.

When a refund is approved, the credits from that purchase are removed from your account. If some of those credits were used after the request was submitted, the refund will be reduced accordingly or declined. Refunds are made in PHP for the amount originally paid; any currency conversion or foreign transaction fees charged by your bank are outside our control.

D. Cancellation Policy

Cancelling a purchase before payment

You may abandon a purchase at any time before the payment is completed by closing the checkout page or declining the payment in your e-wallet or banking app. A pending purchase that is not paid expires automatically and nothing is charged. There is no need to contact us to cancel an unpaid purchase.

Cancelling a purchase after payment

Once a payment has succeeded and credits have been delivered, the purchase cannot be cancelled. You may instead request a refund if you are eligible under Section C.

Reversing a credit unlock

Some unlocks take effect after a short waiting period. If you delete an activity before its results become viewable, any purchased credits you spent on that unlock are returned to your credit balance automatically. Credits are not returned once results have been made viewable. Returned credits go back to your in-app balance; they are not paid out as money.

Closing your account

You may close your GradeChum account at any time by emailing info@gradechum.com. Closing your account does not by itself entitle you to a refund. Any unused credits are forfeited when the account is closed, unless a refund has been approved under Section C before closure. Please request any refund you are entitled to before asking us to close your account.

Institutional subscriptions

An institution's right to cancel its subscription, and any refund on cancellation, is governed by its written agreement with us. Unless that agreement says otherwise, subscription fees for a semester that has already started are not refundable.

Suspension or termination by us

We may suspend or close an account, and cancel or void credits, if we reasonably believe the account has been used to breach these terms, commit fraud, make unauthorised payments, or abuse the refund or chargeback process. Credits obtained through fraud or an unauthorised payment are void. If we close an account for reasons that are not your fault, we will refund any unused purchased credits in full.

E. Chargebacks and Disputes

Please contact us first

If you believe you have been charged incorrectly, please contact us at info@gradechum.com before raising a dispute with your bank or e-wallet provider. Most issues can be resolved faster this way.

Chargebacks

If a chargeback or payment dispute is raised on a purchase that was validly made and delivered, we may remove the disputed credits from your account and suspend it until the dispute is resolved. We will provide Xendit and the card issuer with records of the purchase and the delivery of credits. Repeated or abusive chargebacks may result in permanent closure of the account.

F. Other Terms

Changes to these terms

We may update these Terms and Conditions from time to time. The current version will always be published on this page with the date it was last updated. Material changes to the refund or cancellation policy will not apply retroactively to purchases made before the change.

Privacy

How we collect and use your personal data is described in our Privacy Policy, which forms part of these terms.

Governing law

These terms are governed by the laws of the Republic of the Philippines. Nothing in these terms limits any rights you have under consumer protection laws that cannot be excluded by agreement.
